A Two-Line Message When You Are Late

要迟到时,别写长篇解释。两行就够:第一行给一个具体的时间,第二行说清手上的活谁来接。读完你能直接套用这两句英文,还知道该提前发、只道一次歉、别乱许承诺。

Message to your manager, 8:12 a.m.: Hi Dana, my train is delayed. I will be about thirty minutes late. I will join the stand-up from my phone. Sorry for the trouble. That is the whole thing. Two short lines. Send it the moment you know you are late.

早上 8:12 发给经理的消息: Dana 你好,我这趟车晚点了,大概会迟到三十分钟。站会我用手机参加。给你添麻烦了。 整条消息就这些。两行短句。一确定要迟到,马上发出去。

The message has only two jobs. Line one says how late you will be. Line two says what happens to your work. Do not write a long story about the train. Your manager only needs to plan the morning. A short message is easier to read and easier to send.

这条消息只干两件事。第一行说清你会迟多久,第二行说清你手上的活怎么办。别写一长段解释地铁怎么了。经理只需要把这个上午安排明白。写得短,别人读起来轻松,你自己也更发得出手。

Give a real number, not a vague word. "A bit late" makes people guess. "About thirty minutes" lets them decide. If you are not sure, give your best guess and update it later. One update is fine. Five updates make you look nervous.

给一个具体的数字,别用含糊的词。『晚一点到』让人自己去猜,『大概三十分钟』才让人能做决定。要是拿不准,就先给一个最接近的估计,晚点再更新。更新一次没问题,更新五次会显得你很慌。

Now cover your work. If you have a meeting, say who will start it. If a client is waiting, say when you will call. Here is a second version: Hi Dana, I am running late and will be in by ten. Ravi will cover the client call at nine thirty.

接着交代工作。如果你有会,就说清谁先开;如果客户在等,就说清你几点打过去。再看一个版本: Dana 你好,我路上耽误了,十点前能到。九点半那通客户电话让 Ravi 先顶一下。

Apologise once, and keep it light. "Sorry for the trouble" is enough. Do not promise to stay late to make up for it. And send the message before you are late, not after. Ten minutes of warning is worth more than a long apology at noon.

道歉一次就够,而且要轻描淡写,一句『给你添麻烦了』足矣。别急着承诺加班补回来。还有,消息要在迟到之前发,不是之后。提前十分钟的招呼,比中午一长串道歉值钱得多。
