Scene: Priya, a team lead, sits down with Marco from the finance team for a monthly budget check. She is new to talking about money and wants to keep it simple.

Marco: Thanks for coming, Priya. Let's look at your team's numbers for last month. Your budget was fifty thousand, and you spent fifty-six. So you went over budget by six thousand.

Priya: Right, I saw that too. I'm sorry — I know going over is not good. The extra money went to a last-minute software tool the whole team needed. I should have flagged it earlier.

Marco: No problem, and thanks for explaining the reason clearly. That is exactly what I need to hear. When you are over budget, always tell me what the money was for. A good reason is much easier to accept than a surprise. Is this software a one-time cost, or will it come back every month?

Priya: It comes back every month — it's a subscription, about six hundred a month. So from now on my costs will be a little higher. Should I ask for a bigger budget?

Marco: Good question. Let's add that six hundred to your monthly plan so you stay on track going forward. For the rest, you are doing fine — you were under budget the two months before this. One over-budget month with a clear reason is not a problem. A pattern of surprises would be.

Priya: That's a relief. One more thing — next quarter I want to hire one more person. How do I put that into the budget conversation?

Marco: Keep it simple, just like today. Tell me the cost, the reason, and the benefit: "One new hire, about eighty thousand a year, so we can take on two more clients." Numbers plus a reason. If you can always talk about money that plainly, every finance meeting will go smoothly.
