The Follow-Up Email Playbook

Most deals, jobs, and answers are not lost because someone said no. They are lost because nobody followed up. A short, polite reminder is often all it takes to move things forward. This playbook gives you four email templates you can copy today. Keep them short, keep them friendly, and always end with one clear next step.

Subject: Quick follow-up on my last email Hi Sarah, Just checking in on the proposal I sent last Tuesday. I know your week is busy, so no rush. When you have five minutes, could you let me know if the timeline works for you? Happy to jump on a quick call if that is easier. Best, Wei

Use this template when someone has gone quiet. Two rules: do not apologise for "bothering" them, and do not guilt-trip them with "I still haven't heard back." Instead, give them an easy out ("no rush") and a small, specific action ("does the timeline work?"). One clear question gets answered far more often than a vague "any update?"

Subject: Recap and next steps from today's call Hi team, Thanks for the great discussion today. Here is a quick summary so we are all on the same page: - Wei will send the budget by Friday. - Sarah will book the vendor meeting for next week. - We will review both at Monday's standup. Let me know if I missed anything. Best, Wei

Send this within an hour of any meeting, while memories are fresh. The magic is in the bullet list: each line names a person, an action, and a deadline. This turns a vague conversation into a written record everyone agreed to. If someone later forgets their task, the email is your gentle, blame-free reminder.

Subject: Thank you — great to meet the team Hi Mr. Chen, Thank you for your time this morning. I enjoyed learning about the marketing role, especially the plan to expand into Southeast Asia. It is exactly the kind of challenge I am looking for. Please let me know if you need anything else from me. I look forward to the next step. Best regards, Lin

Send a thank-you note within 24 hours of any interview. Mention one specific detail from the conversation (here, the Southeast Asia plan) so it does not read like a form letter. This tiny email is cheap to write and it keeps you top of mind while the hiring team makes its decision. Skip it, and you look less interested than the person who sent one.

Subject: Reminder: invoice #204 due last Friday Hi Tom, I hope all is well. This is a friendly reminder that invoice #204 for 3,000 dollars was due on July 12. I have attached it again for convenience. Could you confirm when we can expect payment? If it has already been sent, please ignore this note. Thanks, Wei
