This is the standard version, and it works for most short breaks. It answers the three questions every sender has: when are you back, who can help now, and will you reply later. Swap in your own return date and a real backup contact — never leave the reader with no path forward.
Subject: Away from my desk today Hi, I'm away from my desk today and will be back tomorrow morning. I'll answer your message then. If it can't wait, please call my mobile or reach my teammate David at ext. 204.
Use this shorter version for a single day out — a medical appointment, a training day, or focused work off-site. Keep it light and specific. Naming one teammate and one channel (phone, extension, or chat) is enough; a wall of instructions only slows the sender down.
Subject: Traveling with limited email — back 2 August Thank you for reaching out. I'm traveling for work this week and checking email only once a day, so replies may be slow until 2 August. For client matters, please contact our support team at support@company.com, who can act right away.
The travel version sets a realistic expectation: you are reachable, but slowly. Say how often you'll check — "once a day" is honest and keeps people from resending. Point client-facing questions to a team inbox, not just one person, so nothing depends on your patchy signal.
Subject: On leave until 15 August — messages not monitored I'm on annual leave until 15 August and will not be reading email during this time. Your message will not be forwarded. Please resend it after I return, or contact Priya Nair at priya.nair@company.com for urgent help. Thank you for understanding.
This last version protects a real holiday. By saying messages are "not monitored" and will not be forwarded, you set a firm, kind boundary — the sender knows to resend later rather than wait. For a long break you have earned, clarity is a gift to both sides.
