Send this within twenty-four hours, while you are still fresh in the interviewer's mind. Keep it short — five or six lines is enough. Replace the bracketed parts, and change one small detail ("the marketing team," "this quarter") so the note feels personal, not copied from a template.
Hi [Name], Thank you again for the conversation today. After we spoke, I kept thinking about your question on how I would grow the newsletter. I would start by testing two subject lines each week and tracking open rates — a small habit that added forty percent to my last team's numbers. I'd love to bring that same approach to your team. Best, [Your Name]
Use this longer version when you forgot to make a key point, or want to answer a question better than you did in the room. Give one concrete example with a number. Don't rewrite the whole interview — pick the single idea that best shows you can do the job, and stop there.
Hi [Name], I hope your week is going well. I'm still very interested in the [Job Title] role, and I wanted to check in on the timeline for a decision. Please don't feel any pressure — I know these things take time. I'm happy to share anything else that would be helpful. Best, [Your Name]
Send a follow-up only after the date they gave you has passed, or about a week of silence. Ask once, politely, and never sound impatient. The line "Please don't feel any pressure" keeps the tone warm. If you still hear nothing after this, it is fair to move on and focus your energy elsewhere.
Hi [Name], Thank you for letting me know, and for the time your team spent with me. I'm disappointed, of course, but I really enjoyed meeting everyone. If a similar role opens up in the future, I would be glad to talk again. I wish you and the team all the best. Best, [Your Name]
A kind reply to a "no" is one of the smartest things you can send. People remember it, and candidates are often hired months later when the next seat opens. Stay warm, keep the door open, and never burn a bridge over a single rejection. Today's rejection is sometimes next year's offer.
