You get a calendar invite for a two-hour workshop. You are not needed there. Here is your reply: Hi Marco, thanks for the invite. I cannot join this one — I am finishing the launch checklist on Thursday. Could you send me the notes afterwards?
The reply has three parts. Say thank you. Say no clearly. Then offer one small thing instead. Most people only do the first two. The third part is what keeps the relationship warm. It takes five extra words and saves a lot of awkward feelings.
Give one short reason. You do not owe anyone your full calendar. "I have a deadline on Thursday" is enough. Do not say "I am too busy" — that sounds like the meeting does not matter. Name the work, not your mood. A real reason is hard to argue with.
Offer something instead. Ask for the notes. Send your input by email before the meeting. Suggest a shorter call next week. Or send a teammate who is closer to the topic. Any of these shows you still care about the work. Choose one. Do not offer three.
Reply early. If you plan to turn it down, do it today, not on the morning of the meeting. And do not just click decline in the calendar. Add one line. The tool sends a cold red "no"; your sentence turns it into a normal conversation.
