Think about the last email you ignored. It was probably long, unclear, or both. Busy people receive dozens of emails every day, and they decide in seconds which ones to open. If you want a reply, your email must be easy to read and easy to act on.

想想你最近一封没理会的邮件——它八成又长又不知所云,或者两者兼有。忙碌的人每天收到几十封邮件,几秒钟内就会决定打开哪些。想要得到回复,你的邮件必须让人读起来轻松、做起来省事。

Start with the subject line. A good subject line tells the reader what the email is about and what you need. Compare "Question" with "Budget approval needed by Friday". The second one gives the reader a reason to open it now. If your message is very short, you can even put the whole request in the subject line.

先从邮件标题下功夫。好的标题能告诉读者这封邮件讲什么、你需要什么。比较一下『请教一个问题』和『预算审批,周五前需批复』——后者给了读者立刻点开的理由。如果内容非常简短,你甚至可以把整个请求直接写进标题里。

Put your main request in the first sentence. Many writers save the request for the end, after a long story. Busy readers skim, so they may never reach it. Lead with the ask: "Could you review the contract by Thursday?" Then add the background for people who want details.

把核心请求放在第一句话。很多人喜欢先铺垫一大段,把请求留到最后。但忙碌的读者只会扫一眼,可能根本读不到结尾。开门见山地提出请求:『您能在周四前审阅一下合同吗?』然后再补充背景信息,留给想了解细节的人。

Keep the body short and easy to scan. Use short paragraphs and bullet points. A wall of text tells the reader: deal with this later. One email should cover one topic. If you have three different topics, send three short emails, or use clear headings. When you need an answer, ask one direct question and give a clear deadline.

正文要短,并且方便快速浏览。多用短段落和要点符号。密密麻麻的一大段文字,等于在告诉读者:这封先放一放吧。一封邮件只谈一件事;如果有三件不同的事,就发三封短邮件,或者用清晰的小标题分开。需要对方答复时,只问一个直接的问题,并给出明确的截止时间。

Watch your tone. Emails have no body language, so polite words matter. "Send me the report" can sound rude. "Could you send me the report by Friday?" is friendly and still clear. When a topic feels sensitive or emotional, stop typing and pick up the phone instead.

注意语气。邮件里没有肢体语言,所以措辞的礼貌格外重要。『把报告发我』听起来可能很生硬,而『您能在周五前把报告发给我吗?』既友好又清楚。如果话题比较敏感或带有情绪,那就别再打字了,直接拿起电话吧。

Finally, proofread before you hit send. Check the recipient's name, the numbers, and the attachment — everyone has sent an email that says "please see attached" with nothing attached. A two-minute check protects your professional image. Clear, short, and polite: that is the whole secret of email.
